The Administrator role is an integral member of the New Homes team with responsibility for providing support to the Development Manager across the various delivery stages of our new home's projects, from construction through to customer sales, and handover. The Administrator will be working closely with our external Professional teams, Sales & Legal agents, and Construction teams to ensure that critical documents are compiled on-time to support each stage of the new homes process. The role also interfaces with the relevant Statutory bodies to ensure the timely preparation of applications, submissions, and Notices.


Key duties of the role include:

Assisting in project management for each project as follows

  • Preparing monthly developer valuations (Argus Developer database & Excel) to submit to the Bank monitor. Compiling supporting documentation.

  • Working with our Finance team and approving monthly invoices.

  • Updating the overall project cash flow in line with the construction programme and projected sales income.

  • Collating contract documents in line with Banking requirements.

Construction Stage:

  • Preparation and submission of Utility Applications (Irish Water & ESB) and Home Bond registrations.

  • Preparation various documents for the Local Authorities and Uisce Eireann (Irish Water).

  • Coordinate with the design team and contractor for the BER documentation.

  • Coordination between design teams and site managers on a range of tasks from planning compliances to final “as built” drawings.

  • Collating construction documents and issuing to the Assigned certifiers for BCAR submission to the Local Authority.

  • Monitor and report on completion of critical programme items to help deliver sales in line with our programme.

Sales, Marketing and Handover stage:

  • Coordinating marketing material for use in brochures, websites, and social media.

  • Actively engage with the sales & legal teams and report on our house sales targets. Updating Sales Status reports.

  • Monitoring and reporting on the new homes snag sign-off process with our Construction team.

  • Collating final closing documentation for new homes sales and issuing to the relevant legal teams.

  • In conjunction with our construction team prepare and control our Homeowner manuals to be issued to our new home's purchasers.

 

General:

  • Assisting in the preparation of reports and presentations.

  • Responsible for filing project documentation on SharePoint from initial commencement documents to final taking in Charge.

  • Set up and maintain various trackers & registers.

  • Attend meetings & record minutes where required. Assisting with other ad-hoc duties as they arise.



Qualifications & Experience:

  • Certificate Qualification in related area such as Administration; Legal Secretary; Property Surveying

  • 5+ years' experience

  • Experience in Document Control or Administration experience in Property Development / New Homes Sales / Construction is an added advantage.

IT proficiency including Microsoft Office Suite, Argus developer and Adobe, would be an advantage. Further training in these packages can also be provided.
