NRL are proud to be partnering with a newly formed company who will operate and maintain all HV Networks on the Teesworks site as well as all the capital build of new networks and substations which is a £190m capital program.
 
We are currently seeking an experienced Executive Assistant / Office Manager with experience in the engineering or construction sector to play a key role in our team.
 
Job Summary:
We are looking for an experienced Office Manager to oversee the daily operations of our office and support our team. The ideal candidate will have a strong background in office management and experience as an Executive Assistant within either the construction, engineering or utility industries and will be adept at managing a wide range of administrative and operational tasks. This role requires exceptional organisational skills, attention to detail, and the ability to handle multiple priorities efficiently.
 
Outline and Responsibilities:
Office Management:
  • Set up systems for the day-to-day office operations
  • Coordinate maintenance and repair services for office equipment and facilities
  • Ensure the office environment is clean, organized, and conducive to productivity
Administrative Support:
  • Provide administrative support to senior management and project teams, including scheduling meetings, managing calendars, and coordinating travel arrangements
  • Act as an Executive Assistant to the Directors
  • Prepare and edit correspondence, reports, presentations, and other documents as needed including the compilation of Board Reports
  • Handle incoming communications, including emails, phone calls, and mail, and respond on behalf of the team when appropriate
Human Resources Support:
  • Assist with HR functions, including onboarding new employees, maintaining employee records, and coordinating training and development activities
  • Support the implementation of HR policies and procedures
Financial Management:
  • Assist with budget preparation and expense tracking
  • Manage accounts payable and receivable, and coordinate with the finance department on financial matters
  • Process invoices, expense reports, and purchase orders
Project Coordination:
  • Assist project managers with project documentation, scheduling, and resource allocation
  • Track project progress and ensure deadlines are met, providing updates to management as needed
 
Communication and Liaison:
  • Serve as a point of contact between the office and internal/external stakeholders, ensuring effective communication and follow-up
  • Facilitate the flow of information within the office and across departments
  • Liaise with and manage the requirements of the Directors
Document Management:
  • Maintain and organise office files and records, ensuring easy retrieval and secure storage
  • Develop and implement efficient systems for document management and information flow
Team Leadership:
  • Foster a positive and productive work environment
  • Promote collaboration and effective communication within team

  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and attention to detail.
 
Experience and Qualifications:
Experience:
  • Minimum of 5 years of experience in office management, with a strong background in the construction, engineering, or utilities sectors.
  • Proven experience in managing office operations and supporting senior management.
  • Proven experience in under taking the role of Executive Assistant to Directors
Technical Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Familiarity with project management tools and software is a plus.
